I. MISSION

The Administrative Assistant will be responsible for various administrative functions within the Central Services division of CapSouth Wealth Management.  This position requires high detail-oriented and organizational skills.  The duties will vary widely from bookkeeping, to account opening and maintenance, to pulling data for reports.  This position is not end-client facing but will require good relationship skills internally with other team members, as well as the ability to provide customer support to each local advisory office. 

II. ESSENTIAL RESPONSIBILITIES

  • Bookkeeping assistance through scanning and entering bills, recording receipts, and depositing funds
  • Operational support through the creation of paperwork and processing with minimal errors
  • Establish and maintain positive relationships with team members to ensure client satisfaction
  • Constantly seek for ways to improve operations
  • Support firm-level strategic initiatives
  • Other operational support as required by the Chief Operating Officer

III. POSITION SPECIFICATIONS

Experience and Education:

  • 3-5 years working in administrative functions
  • Bookkeeping experience preferred, especially QuickBooks experience
  • No degree required, though a bachelor’s degree is a plus
  • Ideally have completed some coursework in accounting and/or bookkeeping

Skills and Knowledge:

  • Demonstrates analytical ability, good judgment, problem solving, responsibility, personal integrity, and able to maintain confidential information daily
  • Computer literate and proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook)
  • The ability to export reports and format within Excel, including basic excel functions
  • Ability to work efficiently, effectively, and independently to see projects through to conclusion
  • Excellent time management, organizational skills, and ability to prioritize multiple tasks and anticipate potential problems
  • Ability to comprehend a chart of accounts and basic debit and credit transactions

  1. MISSION

The Financial Relationship Manager “Advisor Assistant” acts as the primary point of contact for assigned clients. This individual is responsible for the management and monitoring of the client relationship, ensuring a consistent positive client experience, including working with the team to ensure all commitments are completed and followed through in a timely manner.  This position requires a pro-active approach and ability to independently carry out the duties of the position. The ideal candidate should exhibit high standards, excellent communication skills, good judgment, and ability to take initiative. The ability to effectively manage time and multi-task with attention to detail is critical to this role.  The term Advisor is used in referring to a Managing Director, Senior Wealth Advisor or Wealth Advisor.

 

  1. ESSENTIAL RESPONSIBILITIES
  • Actively participate in all assigned Advisor client meetings
  • Demonstrate the ability to escalate potential client issues to Advisor as appropriate
  • Actively document all notes and action items during client meetings and ensure all commitments made by the Advisor are being completed in a timely manner (this may include personally completing task or assigning task to other team members for completion)
  • Review task assignments for each client and work directly with team members to ensure all follow-up and action items as a result of client meetings are documented in Salesforce and completed within the specified time frame
  • Under the direct oversight of the Advisor, actively engage in Client Case Prep meetings and providing recommendations and feedback relative to the client’s financial plan, as appropriate
  • Responsible for maintaining an ongoing agenda for the next meeting immediately following completion of the current meeting (this agenda should be modified with new information as developed and finalized several days in advance of the next meeting)
  • Create, or assist in creating, presentations, case documentation, and deliverables for all assigned clients
  • Ensure compliance requirements are adhered to
  • Be responsible for the onboarding process for new clients, ensuring all guidelines are adhered to throughout the process
  • Act as the primary point of contact for all client interactions, working with team members to ensure a timely response to all client questions and concerns
  • Establish and maintain positive relationships with existing clients to ensure client satisfaction
  • Constantly seek for ways to improve operations

 

III. POSITION SPECIFICATIONS

Experience and Education:

  • A Bachelor’s degree is preferred
  • Prefer 3-5 years working in a Client Service
  • Some knowledge of financial industry preferred
  • Willingness to pursue Series 65 license

 

Skills and Knowledge:

  • Demonstrates analytical ability, good judgment, problem solving, responsibility, personal integrity, and able to deal with confidential information daily
  • A self-starter with a strong sense of ownership, positive professional attitude, and demeanor
  • Must be able to exercise judgment, tact, and diplomacy on behalf of supervisors when dealing with other executives and levels of management
  • Proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook).
  • Experience in Salesforce highly desired
  • Excellent customer service
  • Professional and articulate with strong attention to detail and excellent oral and written communication skills
  • Ability to work efficiently, effectively, and independently to see projects through to conclusion
  • Excellent time management, organizational skills, and ability to prioritize multiple tasks and anticipate potential problems

 

Core Competencies:

  • Comprehends the extreme confidential nature of the business and exhibits extreme care in handling confidential information
  • Evaluates and assess timely completion of client deliverables, allocation of internal resources, and client liaison
  • Able to interpret and disseminate information, prepare reports, and use of the appropriate mode of communication
  • Orientated to provide excellent Customer / Client service
  • Computer literate – comfortable with technology and the use of standard office programs and networks

Teach Your Grandchildren Important Lessons About Money

You may have dealt with money for more than half a century. You understand hard work, following a budget, saving money, and spending wisely. You possess a wealth of financial wisdom—at least in comparison to your grandchildren.

As a grandparent, you can provide your grandchildren with sound, sage advice. Will they accept and heed it? Yes, researchers say. In fact, a survey of more than 1,000 young adults found that most (85%) were receptive to financial discussions with their grandparents.[i] However, just 8% of grandparents said they actually talk with their grandchildren about finances.

Nearly a third of grandparents said they thought they could influence their grandchildren’s financial decisions. The study also indicated grandparents are able to shape grandchildren’s decisions more than grandparents realize. Nearly three-quarters of grandchildren said their grandparents’ financial advice would influence how they save and spend money.

So, how do you do it? How do you talk to your grandchildren about money? Here are several ways to engage in fruitful discussions:[ii]

Just say no to gifts (sometimes).

Giving gifts or investing in college funds is nice and may provide the catalyst for a bright future. But when money is tight, often the best approach is talking about the value of money. Discussions help develop the sense of money’s value and a good work ethic in your grandchildren. Moreover, you may “hire” your grandchildren to do chores or household projects; you can then pay them an hourly wage for the work, like they do it in the real world.

Story time: “In my day…”

You first must determine whether you have a captive audience. If your grandchildren are interested, tell them stories about how you earned money as a teenager, how you paid for your school, and how you saved money. If your audience’s attention doesn’t waver or wane, you can segue into goal setting and saving money for college. You may also delve into the difference between what they need and what they want.

Go to the store.

This would be a good time to discuss history. You can explain how prices have gone up on products and how selections have changed. A loaf of bread, for example, cost 25 cents in 1970.[iii] A pound of hamburger meat cost 45 cents in 1960. Those types of discussions give children a wider perspective on the role and value of money in our lives.

Go high tech.

Grandparents who live a ways from their grandchildren can use video chatting or other methods to keep in touch. This will enable you to keep the conversation alive and to continue conveying your wisdom.

Serve as an example.

Maybe having a conversation isn’t the best approach or it’s not the right time. However, grandparents’ life stories can provide compelling lessons on the value of money and responsible financial management. Your story—in a family novel, at family gatherings, in other settings, or through other formats—may serve as powerful lessons later in your grandchildren’s lives. Parts of your story may include getting your first job, your first car, or even your house. After all, the most important legacy you can leave to your grandchildren resides in your heart, not your bank account.
