  1. MISSION

A Client Service Associate provides client service support, retirement plan support, and investment management support, usually with other professionals on the team, and under the supervision and mentorship of a Wealth Advisor.  Most of the Client Service Associate’s time is spent scheduling meetings & requesting documentation, managing paperwork, prepping and following up on client and team meetings, maintaining the CRM, confirming follow-through on commitments, and other duties as necessary.

 

  1. ESSENTIAL RESPONSIBILITIES
  • Creates agendas, meeting notes/minutes, and assigns appropriate follow-up tasks to team members, as necessary.
  • Ensures Retirement Plan Committee and Participant Education meetings are scheduled, confirmed, and up to date.
  • Creates client service tasks/sequences and assigns out as needed.
  • Processes necessary paperwork and performs administrative tasks for onboarding and service.
  • Coordinates meetings, documentation, and follow-up with clients.
  • Coordinates with plan sponsors, retirement plan administrators, and retirement plan committees.
  • Attends Retirement Plan Committee Meetings (RPC), creates minutes, and provides client service support to all clients.
  • Creates and maintains client data/informational sheets and ongoing agendas for each client.
  • Brings relevant and timely information to internal team meetings.
  • Infrequently, CSA may attend and takes notes for employee education meetings and enrollment meetings as directed by the Lead Advisor (may require limited overnight travel).

 

III. POSITION SPECIFICATIONS

Growth Responsibilities:

  • Master software and procedures.
  • Be able to understand client and advisor expectations and create a process to meet them.
  • Having or actively pursuing a bachelor’s degree in a related field is preferred.
  • Working towards CRPS and/or Series 65 License.

 

Skills and Knowledge:

  • Self-starter.
  • Demonstrates analytical ability, good judgment, problem solving, responsibility, personal integrity, and able to maintain confidential information daily.
  • Reasonable knowledge of Human Resources Management, Benefits, Payroll, and/or 401k Plans.
  • Enjoys working in a team environment and ensuring assigned tasks are completed.
  • Excellent communication and listening skills.
  • Proven Verbal & written communication skills, along with client service & interpersonal skills.

I. MISSION

The Administrative Assistant will be responsible for various administrative functions within the Central Services division of CapSouth Wealth Management.  This position requires high detail-oriented and organizational skills.  The duties will vary widely from bookkeeping, to account opening and maintenance, to pulling data for reports.  This position is not end-client facing but will require good relationship skills internally with other team members, as well as the ability to provide customer support to each local advisory office. 

II. ESSENTIAL RESPONSIBILITIES

  • Bookkeeping assistance through scanning and entering bills, recording receipts, and depositing funds
  • Operational support through the creation of paperwork and processing with minimal errors
  • Establish and maintain positive relationships with team members to ensure client satisfaction
  • Constantly seek for ways to improve operations
  • Support firm-level strategic initiatives
  • Other operational support as required by the Chief Operating Officer

III. POSITION SPECIFICATIONS

Experience and Education:

  • 3-5 years working in administrative functions
  • Bookkeeping experience preferred, especially QuickBooks experience
  • No degree required, though a bachelor’s degree is a plus
  • Ideally have completed some coursework in accounting and/or bookkeeping

Skills and Knowledge:

  • Demonstrates analytical ability, good judgment, problem solving, responsibility, personal integrity, and able to maintain confidential information daily
  • Computer literate and proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook)
  • The ability to export reports and format within Excel, including basic excel functions
  • Ability to work efficiently, effectively, and independently to see projects through to conclusion
  • Excellent time management, organizational skills, and ability to prioritize multiple tasks and anticipate potential problems
  • Ability to comprehend a chart of accounts and basic debit and credit transactions

I. MISSION

The Relationship Manager acts as the primary point of contact for assigned clients. This individual is responsible for the management and monitoring of the client relationship, ensuring a consistent positive client experience, including working with the team to ensure all commitments are completed and followed through in a timely manner.  This position requires a pro-active approach and ability to independently carry out the duties of the position. The ideal candidate should exhibit high standards, excellent communication skills, good judgment, and ability to take initiative. The ability to effectively manage time and multi-task with attention to detail is critical to this role.  The term Advisor is used in referring to a Managing Director, Senior Wealth Advisor or Wealth Advisor.

 

II. ESSENTIAL RESPONSIBILITIES

  • Actively participate in all assigned Advisor client meetings
  • Demonstrate the ability to escalate potential client issues to Advisor as appropriate
  • Actively document all notes and action items during client meetings and ensure all commitments made by the Advisor are being completed in a timely manner (this may include personally completing task or assigning task to other team members for completion)
  • Review task assignments for each client and work directly with team members to ensure all follow-up and action items as a result of client meetings are documented in Salesforce and completed within the specified time frame
  • Under the direct oversight of the Advisor, actively engage in Client Case Prep meetings and providing recommendations and feedback relative to the client’s financial plan, as appropriate
  • Responsible for maintaining an ongoing agenda for the next meeting immediately following completion of the current meeting (this agenda should be modified with new information as developed and finalized several days in advance of the next meeting)
  • Create, or assist in creating, presentations, case documentation, and deliverables for all assigned clients
  • Ensure compliance requirements are adhered to
  • Be responsible for the onboarding process for new clients, ensuring all guidelines are adhered to throughout the process
  • Act as the primary point of contact for all client interactions, working with team members to ensure a timely response to all client questions and concerns
  • Establish and maintain positive relationships with existing clients to ensure client satisfaction
  • Constantly seek for ways to improve operations

 

III. POSITION SPECIFICATIONS

Experience and Education:

  • A Bachelor’s degree is required
  • Prefer 3-5 years working in a Client Service
  • Some knowledge of financial industry preferred
  • Series 65 or on track to obtain a Series 65 and/or obtainment of an approved designation within three years of employment

 

Skills and Knowledge:

  • Demonstrates analytical ability, good judgment, problem solving, responsibility, personal integrity, and able to deal with confidential information daily
  • A self-starter with a strong sense of ownership, positive professional attitude, and demeanor
  • Must be able to exercise judgment, tact, and diplomacy on behalf of supervisors when dealing with other executives and levels of management
  • Proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook).
  • Experience in Salesforce highly desired
  • Excellent customer service
  • Professional and articulate with strong attention to detail and excellent oral and written communication skills
  • Ability to work efficiently, effectively, and independently to see projects through to conclusion
